What is an AI receptionist? How it works and when it makes sense

What an AI receptionist does on a call, what it should and shouldn’t know, when a person takes over, and what to check before you choose one.

A call at 11:42 AM: the caller asks for Thursday morning, the AI receptionist books Thursday at 9:30 AM, and the call is recorded with the outcome “Appointment booked”.
A booking call as it appears in WiseUnit: the conversation, the confirmed outcome and the calendar check behind it.

An AI receptionist, in one sentence

An AI receptionist is software that answers your business phone line in a natural voice, understands why someone is calling and does something useful about it: it answers the question, books the appointment, takes the details for a callback or puts the caller through to a person.

It is not a phone menu. Callers don’t press 1 for sales. They say what they need in their own words, and the receptionist responds the way a trained front desk would.

And it is not a chatbot bolted onto a phone line. A good AI receptionist works from your business information, follows your rules for when a person should take over, and leaves a record of every call so your team can see what happened.

What happens on a call

Here is a typical call, step by step, as it runs in WiseUnit.

  • The call rings on your business number and the receptionist answers immediately, with the greeting you wrote.
  • The caller explains what they need. The receptionist asks the follow-up questions you told it to ask, such as their name, what the job is or which day suits them.
  • If the answer is in your knowledge (opening hours, prices, payment options, policies), it answers with the wording you approved.
  • If the caller wants an appointment, it checks your calendar during the call, offers an open slot and books it. It confirms the booking only once the calendar has it.
  • If the caller needs a person, it transfers the call to your team, within the hours you allow. If no one is available, it records a callback request with the reason, the preferred time and a priority.
  • When the call ends, the transcript and the outcome (for example “Appointment booked” or “Callback requested”) are saved in your call history.

What it knows, and what it doesn’t

An AI receptionist is only as useful as the information behind it. In WiseUnit you add business facts, website pages and documents such as a price list or a policy PDF, and the receptionist answers from what you approve.

That boundary matters. A receptionist that improvises answers about your prices or policies creates problems your team has to clean up later. One that answers from approved information, and says it will pass the question on when the answer isn’t there, is one you can trust with real customers.

It also only knows what it is connected to. WiseUnit books into Google Calendar, Calendly and Cal.com. It does not look up an individual order, patient record or vehicle in systems it isn’t connected to, so calls like that are transferred or turned into a callback for your team.

When a person should take over

The point of an AI receptionist is not to keep callers away from your team. It is to make sure the calls that need a person reach one, with the context already captured.

You decide the rules. Set a transfer number, describe in the instructions which situations should be put through, and choose whether transfers are allowed outside business hours. A caller reporting water coming through the ceiling can be connected at 7 PM; a question about next week’s opening hours doesn’t need anyone.

Everything else ends in a clear outcome your team can act on the next morning: an appointment in the calendar, an answered question, or a callback request sorted by priority.

Who it is for

An AI receptionist makes the most difference where the phone is how customers reach you and the people who would answer it are busy doing the actual work.

  • Clinics and practices, where the front desk is also looking after the people in the waiting room.
  • Plumbers, electricians, HVAC and cleaning businesses, where the person who would answer is on a job.
  • Property managers, who get tenant and owner calls at all hours.
  • Hotels, garages, dealerships and shops that want every booking and availability question answered.
  • Teams that serve callers in more than one language. Each WiseUnit receptionist answers in one language you choose, and you can run as many receptionists as you need.

What to check before you choose one

Most AI receptionists sound impressive in a demo. These questions tell you how one will behave on your calls.

You can see how WiseUnit handles each of these on the AI Receptionist page, or compare plans on the pricing page.

  • Does it book into the calendar you already use, and does it confirm only when the booking really exists?
  • Does it answer only from information you approve, and can you edit that information yourself?
  • Can you control exactly when calls are transferred to a person, including after hours?
  • Is every call recorded with a transcript and a clear outcome?
  • Does it speak the languages your callers speak?
  • Is pricing based on your call volume, and can you hear it answer a call before you sign up?

Frequently asked questions

Is an AI receptionist the same as a phone menu (IVR)?

No. A phone menu makes callers press numbers to reach a department. An AI receptionist lets them say what they need, answers or acts on it, and transfers to a person when your rules say so.

Does an AI receptionist replace my team?

It takes the routine calls and the calls nobody is free to answer. Calls that need judgment are transferred or turned into callback requests, so your team spends its time on the conversations that need them.

Which languages can it speak?

WiseUnit receptionists answer in English, German, Italian, French, Spanish, Polish or Turkish. Each receptionist uses one language, and you can run several side by side.

How much does an AI receptionist cost?

WiseUnit plans start at €99 a month, include unlimited receptionists, and are sized by call minutes. Annual billing is 15% cheaper.
